Find a design, read its Ready or Blocked checks, bring in your own HTML, and keep reusable sections.

Where it is in the app

Open Home, choose Email & SMS, then Tools › Templates.

A design is the email itself: the words, the pictures and the footer. Nothing can be sent without one. The Templates screen lists every design your brand has saved.

#Where it is

Open Email & SMS, then Tools, then Templates. Each design is a card with a small preview. The two buttons at the top are Saved sections and New design.

#Find a design

Once you have designs, a filter row appears.

  1. Type in Search by name, subject line or #id. Every design has a short code like #a1b2 on its card.

  2. Use the menus. Status has All, In use and Retired. Kind has Any kind, Built here, HTML and Image strips. A Category menu appears if any design has a category.

  3. Press Filter. Press Clear to reset.

The kind chip tells you how it was made. Built here was written in the editor. HTML was pasted in. Image strips is a design sliced into pictures.

#Ready or Blocked

Every card has a chip, Ready or Blocked. A list of checks sits under the name:

  • No style block
  • Under 102 KB (Gmail cuts an email off past that size)
  • Unsubscribe link
  • Postal address
  • Dark areas have a colour behind them
  • Every strip has alt text (image strips only)

A Blocked design cannot be used in a campaign, but nothing happens to your account. Press Why, and how to fix it on the card. The box lists each problem with a reason and a Fix: line. A few of them:

  • There is no unsubscribe link in the email. Put {{unsubscribe_url}} in the footer as a normal link.
  • There is no postal address in the email. Put {{postal_address}} in the footer. We fill it in from your brand settings.
  • The design has a style block in it. Gmail deletes it. Move the rules onto each element as style="…".
  • The file is bigger than 102 KB. Use JPEG instead of PNG and drop repeated blocks.
  • There is no readable text in this email, and no plain-text version. Add real text or a short plain-text version.

Warnings say "a warning. It still sends." They include a file close to the size limit and an image filename with no version in it.

Designs made in the block editor add the unsubscribe link and address for you.

#Actions on a card

  • Edit opens it. People who cannot edit see Open and Export.
  • Rename changes the name.
  • Duplicate makes a copy and opens it.
  • Export downloads the design.
  • Replace the HTML appears on pasted designs. The design keeps its name and everything pointing at it. Only the email changes.
  • Retire takes the design out of the pickers. The warning says campaigns and flows already using it "keep working exactly as they are". Put back reverses it.

A design that belongs to one campaign does not show here. Save it from the campaign with Save as a reusable design.

#Bring your own email

  1. Press New design. The page is titled Bring your email.

  2. Choose Paste the HTML or Image strips.

  3. For HTML, paste into the box, or press Choose an .html file, or drop the file on the box. For strips, add the web address of each picture. Add alt text and a link for each one. A link turns a strip into a button. Tick dark for mostly dark artwork.

  4. A phone preview appears on the right. The line under the box tells you what an inbox will do with it. Nothing is rewritten.

  5. Type a Name it and press Save design.

The file must look like HTML and be under 1 MB. The page rejects anything else with a clear message.

#Saved sections

A saved section is a piece of an email, such as a header or a sign-off, that you reuse.

  1. In the editor, click inside a block.

  2. In the Brand and saved bits card, press Save this section and type a name.

  3. In any design, type / and look under Saved.

Dropping one in makes a copy. Changing the saved one later does not change emails already built. Open Saved sections from the Templates screen to Rename or Delete one. Deleting does not touch designs that already used it. Each card says "A copy is in 3 designs" and links to them.

#If it didn't work

  • The Edit button is missing. Your role can see designs but not change them.
  • The design is Blocked after an edit. Open it, press Why, and how to fix it, and fix each red line.
  • A retired design is not in the campaign picker. Press Put back.
  • Replace the HTML is not shown. It only shows on HTML and image strip designs.
